Job Description:
  • Communicate and interact professionally with key executives as well as their Executive Assistants at the client site as well as senior management within the firm.
  • Uses an organized and systematic approach to achieve results in the most efficient and productive manner.
  • Answer and screen incoming calls in a professional manner while providing assistance and obtaining accurate information.
  • Able to routinely handle sensitive/confidential information where the highest level of discretion is expected.
  • Schedule meetings, organize and maintain Outlook calendars.
  • Able to understand challenges facing Senior Partner and be able to manage/reschedule priorities effectively.
  • Follow through on client and group projects.
  • Analyze and summarize incoming communications.
  • Set up, proof, compile, create and distribute high standard business correspondence including memos, letters, e-mail presentation material and written statements with little or no guidance.
  • Proofread documents for grammar, content and accuracy
  • Create and maintain electronic/hard copy files system
  • Manage travel arrangements for both international and domestic business trips
  • Coordinate and plan all aspects of meetings/conferences
  • Compile materials for meetings.
  • Distributions of specific briefings to email distribution list.
  • Able to perform in unique and changing environment by responding effectively to changes and deadlines.
  • Display an appropriate sense of urgency, practicality, and integrity.
  • Display positive, professional attitude and presence.

Qualifications:
  • Minimum 10 years of relevant experience, in a large corporate environment preferred
  • Excellent organizational ability
  • Excellent written and oral communication skills
  • Excellent interpersonal skills and pleasant, positive demeanor
  • Creative problem-solving; ability to develop innovative solutions to complex issues
  • Ability to manage time with a minimum of direction or supervision
  • Ability to interpret difficult situations, exercise good judgment/decision making when necessary
  • Ability to work independently as well as within a team
  • Ability to multi-task in a high-stressed environment
  • High flexibility - ability to constantly prioritize/reassess multi-functional position
